What personal data does Touchays collect, and why do we collect it?

By interacting with our website, we may collect personal data from you and the person or persons you are ordering from.  This may include personal data, such as name, email address, personal account preferences; transactional data, such as purchase information; and technical data, such as information about cookies.

You should also note any collection and retention of sensitive personal data, such as data concerning yours or the receiver’s health is only required on a need to know basis, i.e. information such as food allergies and intolerances.  This is only collected, as you give us active consent, for us to supply food for you or your receiver that you can eat, e.g. dairy-free, gluten-free etc

To assure you, personal data is not just created by interaction with the site. Personal data is generated from technical processes such as contact forms, comments, cookies, analytics, and third-party embeds.

By default, WordPress does not collect any personal data about visitors, and only collects the data shown on the User Profile screen from registered users. However, some of the plugins may collect personal data. You should add the relevant information below.

Contact forms

If you register on our website, please note we also store the personal information you provide in your user profile. All users can see, edit, or delete your personal information at any time (except you cannot change your username). Website administrators can also see and edit the information, e.g. if we find an error in your email address.

You should note that we keep contact form submissions for customer service purposes. Still, we do not use the information submitted by you for marketing purposes unless you have explicitly given us the write to do so, e.g. a customer review.

Cookies

If and when you leave comments on the site, we collect the data shown in the comments form, and also your IP address and browser user agent string, to help spam detection. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and indicates the post ID of the article you just edited. It expires after 1 day.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. On visiting the website, you can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the same way as if you have visited another website.  These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

WordPress does not collect any analytics data. However, many web hosting accounts collect some anonymous.

Who does Touchays share your data with?

We do not knowingly share your data with anyone unless you have, for instance, consented to us sharing a review.  However, we use cloud-based services such as Google and payment processors and third-party service providers.  The data we supply is only to enable us to process your enquiry or transaction further.

By default, WordPress does not share any personal data with anyone.

How long does Touchays retain your data?

At Touchays we like to think that you will become a life long customer, using our services for celebration events etc. so we would like to keep your details for as long as possible.  If you leave a comment, the comment and its metadata are retained indefinitely.  This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.  However, we specifically keep contact form entries for around 24 months, analytics records for 24 months and your customer purchase records for ten years.

What rights you have over your data?

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes, e.g. your purchase history.

Visitor comments may be checked through an automated spam detection service.

How Touchays protect your data?

To assure you, we fully understand that you are trusting us with your personal data.  We, therefore, do everything we can do to keep your data secure, which includes:

  • Taking care when printing and photocopying
  • Double-checking emails and letters are correct before sending
  • We close our email screen before sharing our screens with others
  • Our computer is password protected
  • We don’t let staff share passwords
  • If we send documents electronically, we password-protect them and encourage you and photographers to do the same
  • We send passwords to protected documents in separate emails
  • We keep our IT systems up-to-date 
  • We train our staff to ensure they understand the importance of data protection.

What data breach procedures does Touchays have in place?

In the unlikely case of a breach of data, which we understand to be ‘a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data’,.

If the owners suspect or become aware of a breach of personal data, we will:

  • undertake a dynamic risk assessment to establish the nature of the incident, the type and volume, and will consider the extent of a breach and the sensitivity of the data involved
  • identify the actions needed to contain the breach and to prevent a recurrence of the incident
  • if the breach is considered to be a serious breach of Data Protection, we will contact third parties which might involve the police, banks and credit card companies who will contact you directly.

Touchays collect information about you during the checkout process on our store to enable your transition to go smoothly.

What information does Touchays collect and store when using WooCommerce?

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of basket contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 10 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.  We will also store comments or reviews if you choose to leave them.

Who on Touchays team has access to your information?

Members of our team have access to the information you provide us. For example, both Administrators and Catering Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

To assure you, our team members are only given access to information to help fulfil orders, process refunds and support you.  They are therefore required to sign a Touchays Confidential Agreement.

What information does Touchays share with others?

Touchays only share your data for the purposes of, but may not be limited to, analytics, marketing, payment gateways, shipping providers, and third party embeds.

We share information with third parties who help us provide our orders and store services to you; for example, if needed a delivery or returns company.  However, you would be notified of this update.

Payments

We accept payments through Stripe. When processing payments, some of your data will be passed to Stripe, including information required to process or support the payment, such as the purchase total and billing information. Please see the Stripe Privacy Policy for more details.  In addition to this we will use the data provided as your method of payment, eg VISA etc, please see your providers details for more information.
